You can do this by either going to the Customer List and selecting \u2018Prospect\u2019 on the filter. This will bring up a list of Prospects.<\/li>\n<li>Simply click the Prospect Account no to proceed to the Customer Detail screen.<\/li>\n<\/ol>\n<p><img decoding=\"async\" src=\"https:\/\/support.servicesight.com\/wp-content\/uploads\/sites\/2\/2020\/12\/Anonymising-Prospect-Records-1.gif\" \/><\/p>\n<p>&nbsp;<\/p>\n<ol start=\"3\">\n<li>To anonymise the data:\n<ol type=\"a\">\n<li>Overtype the entry in the <strong>Name<\/strong> field to \u2018<strong>ANON<\/strong>\u2019<\/li>\n<li>Remove the entry in <strong>Street 1<\/strong> with the backspace key<\/li>\n<li>Remove the entry in <strong>Street 2<\/strong> with the backspace key<\/li>\n<li>Remove the entry in <strong>Town\/City<\/strong> with the backspace key<\/li>\n<li>Remove the entry in <strong>County<\/strong> with the backspace key<\/li>\n<li>Remove the entry in <strong>Post Code<\/strong> with the backspace key<\/li>\n<li>Remove the entry in <strong>Phone<\/strong> with the backspace key<\/li>\n<li>Remove the entry in <strong>Fax<\/strong> with the backspace key<\/li>\n<li>Remove the entry in <strong>Email<\/strong> with the backspace key<\/li>\n<li>Remove the entry in <strong>Website<\/strong> with the backspace key<\/li>\n<li>Change the <strong>Status<\/strong> in the top right-hand corner to \u2018<strong>Closed<\/strong>\u2019<\/li>\n<\/ol>\n<\/li>\n<\/ol>\n<p><img decoding=\"async\" src=\"https:\/\/support.servicesight.com\/wp-content\/uploads\/sites\/2\/2020\/12\/Anonymising-Prospect-Records-2.gif\" \/><\/p>\n<ol start=\"4\">\n<li>This will anonymise the Prospect record. We are aware that ServiceSight is a flexible tool and can be used in a number of different ways. Therefore, if you have stored personal data in other fields, for example but not limited to, the Memo tab, then you need to decide whether this too needs removing from the database. For further advice on what constitutes personal data please consult the ICO at <a href=\"https:\/\/ico.org.uk\/for-organisations\/guide-to-the-general-data-protection-regulation-gdpr\/\">https:\/\/ico.org.uk\/for-organisations\/guide-to-the-general-data-protection-regulation-gdpr\/<\/a><\/li>\n<li>When you have finished, click the \u2018Save\u2019 button to save your changes.<\/li>\n<\/ol>\n<p><strong>Implications<\/strong><\/p>\n<p>Anonymising the Prospect Record in the manner described above has implications for the rest of the ServiceSight database where Prospect information is displayed.<\/p>\n<p>For example, following anonymization, if you view a Reminder where this Prospect was selected then instead of seeing their name on the Reminder you will see ANON instead \u2013 although their internal account number will be visible.<\/p>\n<p>If you wish to discuss these implications further then please contact the support desk.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>If an individual requests that you remove their personal data from your database or if you wish to anonymise the prospect data for any other reason, it is easy to do so without affecting the referential integrity of your database.
