Creating a Job Quote

To create a new quotation click ‘Quotes’ on the menu bar then click ’New Quote’ in the top right

You will see three tabs on the ‘New Quote’ screen Details | Job | Summary

  • Start on the first tab ‘Details’
  • Firstly, select the Customer and Site that you need to create this quote for from the list that appears
  • Next, select the contact for this quote
  • If you have an order number from the customer then you can enter it now.
  • Optionally, select the following dates for ‘Requested date’, ‘Required by’, ‘Quoted date’, ‘Requested by’

At the bottom of each tab you will see a ‘View quote’ button. You can view the quote document as you are working through the tabs. From this ‘View Quote’ screen you can also download, print and email the quote document.

  • Move to the next tab ‘Job’

  • Now you can select the type of job you need to create to quote for. The list here will offer the Job types that you have already created in the system in alphabetical order. You can create as many Job types as you need and add them to the system at any time.
  • Enter the ‘Work required’, or work to be carried out.
  • The flat charge and labour rates will pull through from your labour rate set against your customer. You can override these rates here.
  • Add any ‘Material items’ required. The list here will offer the materials that you have already created in the system.
  • Move to the final tab ‘Summary’

  • You will see a list of 3 options for the ‘Detail level’ required on the quote document.
    • Detailed – All below with breakdown of labour
    • Summary – Shows the summary, terms, total labour value and total quotation value
    • Total only – Shows the summary, terms and quotation value
  • Fill out the ‘Summary’ of the quotation
  • Fill out any ‘Terms’
  • Once the quote is complete you can proceed to
    • View the complete quotation
    • Create a new revision of the quotation if necessary by clicking the green ‘New Revision’ button next to the quote number.
    • Mark the quote as ‘Lost’
    • Mark the quote as ‘Won’
