Creating New Inspections Templates

Creating New Inspections Templates

ServiceSight allows you to create inspections that will be added to visits in order for engineers to be able to complete them on the mobile app.

You have the ability to complete pre visit and in visit inspections. It is possible to decide at which point an engineer is prompted to fill out each inspection sheet:

  • Pre Visit – will appear when the engineer arrives on site. They cannot continue with the rest of the job until the inspection has been completed.
  • In Visit – will appear when the engineer is in site and chooses to do that inspection sheet.

Each inspection can have a unique name and type. You can create as many inspection types as you need and configure them in any way you like. You can even set an inspection to always be linked to a specific job type.

  • To create an inspection simply go to Settings | Inspections | Templates
  • Click ‘Settings’ in the top right-hand corner, then select inspection from the list that opens on the left. You will see two options;

Templates – this is where you will build your inspection template

Reasons not done – meaning reasons why the inspection was not complete. Here you will see a list of previously defined reasons.

Create a ‘Reason Not Done’

  • Select ‘Reason not done’ from the list expanded on the left.
  • Click the green ‘New Reason’ button to create a new one. IMAGE
  • The ‘New reason not done’ screen opens.
  • A description box opens where you can populate your reason then click the green save button below to save your reason

Create a New Inspection Template

  • Select ‘Templates’ from the list expanded on the left.
  • Click the green ‘New template’ – to begin fill in the inspection ‘Name’ box at the top of the page.
  • Below there are two tabs – Template and Options.

‘Options’ is where you will define whether it is a Pre Visit or an In Visit inspection and any ‘Auto-Complete’ settings you require. The ‘Auto-Complete’ options are;

  • Do not auto-compete – is the default, and means that an engineer is prompted to answer every question on this inspection sheet.
  • Use inspections code default – means that the default entry within the inspection types screen will be automatically applied.
  • From previous inspection – causes the answers to pull through from the previous time that the inspection was completed.

‘Template’ is where you will build your inspection.

Now that you have setup all of the categories, questions and answers that will appear on your inspection sheets, it is time to pull together all of this information to create your inspection templates.

  • Below the Template and Option tabs you will see ‘Category Name’ fill in this box with the first category you would like to appear on your inspections template.
  • Next in the ‘Text’ box delete the previously defined text ‘Test’ and fill in your first inspection question
  • Below the ‘Text’ box delete the previously defined text ‘Yes’ and fill in your first result to the question. If you have more than one result to the question – you have two options to add
  • more below ‘Add Result’ or ‘Bulk Insert’

Add result – This will open up one additional answer box below the current.

‘Bulk Insert’ (below the result box) – This allows you to add multiple results. To fill out a bulk insert for the results you will need to;

  • Click bulk insert a box will appear with some previously defined results.
  • Override these results to the results you need. Along the right of the results, you will see a preview of the list.
  • When you have complete your result list for the first questions click the green ‘Add’ button at the bottom right corner of the screen.

You will notice another ‘Bulk Insert’ button at the top right hand corner of the template page. This button allows you to bulk insert both questions and results. To bulk insert questions and results you will need to;

  • Click bulk insert a box will appear with some previously defined questions and results. Add each question and result on its own line. Press Enter on your keyboard twice to separate each question.

  • When you have complete your bulk insert click the green ‘Add’ button at the bottom right corner of the screen.

On the main template screen to the right of the question and result boxes, you will notice a number of further options.

  • Add item – will pop up the next question box
  • Bulk insert – Allows you to bulk insert multiple Questions and Results
  • Default – This will use the selected result as the default answer
  • Fail – If this result is selected the inspection will fail
  • Notes – Indicates notes are required on the job
  • Type 123/ABC – Select whether you require a numeric or text answer
  • Duplicate – Duplicate the above question and result
  • The Grab Handle – These allow you to drag the questions around
  • Expand and Collapse Buttons – Allows you to expand and collapse inspections categories

Preview Inspection

Once you have complete you inspection at the bottom of the page, you will see a green preview button. This will allow you to preview the inspection format before you save and start using the inspection.

Clone Inspection

At the bottom of the inspection template page, you will see a ‘Clone’ button. This button will allow you to clone the inspection in a new inspection. This is useful if you need to edit or amend the inspection you are copying or if you have a secondary inspection that is the same as a current inspection with perhaps a few additional questions.
