Sending Messages

ServiceSight incorporates an easy to use internal messaging system that allows you to stay in communication with any other ServiceSight users in your business including engineers in the field via our mobile application. Users can include attachments from outside the system, request delivery and read receipts and even raise new messages from jobs, customers & reminders that are then automatically linked back to the source document for easy referencing.

Viewing Your Conversations

ServiceSight displays your internal messages as conversations to help you understand the context of replies in a chain of messages.

  • To open the list of conversations click the ‘Messages’ icon on the menu bar.
  • The Messages list will open.

In the Message list the system displays the avatar and name of the current sender, the date & time of the message, the subject line & first line of the body as well as the status of the message and a delete option. There is also a filter to just display unread or draft messages and a search option to help you find a particular message and also a ‘New message’ button for creating new messages.

  • To open a conversation simply click anywhere on the list. The conversation opens in the main window and displays a summary conversation list on the left-hand side of the screen, so you can switch conversations without having to come back to the full list screen.

Sending New Messages

  • Open the Message list by clicking the ‘Messages’ icon from the menu bar.
  • In the top right-hand corner click the green ‘New message’ button. The new message screen opens.
  • Click the ‘Recipients…’ button to select who to send this message to.

  • Select the recipients for this message by ticking the box next to their avatar or initials. You can select multiple people from the list and if the list is long you can also use the search facility to find the right individuals you need to contact.
  • Click the green ‘Done’ button when you have selected the users you need.
  • Next, enter the subject line text & the message for the body of the message.
  • If required use the paperclip button to add any attachments to this message (see below for more details).
  • Ticking the receipt boxes will require a delivery and/or read receipt as appropriate (see below for more details).
  • To send the message simply click the green ‘Send’ button.
  • If you would rather save this message as a draft to send later use the ‘Save as draft’ button.
  • The delete button will delete this message without sending.
  • Once sent this message will appear in your list of conversations.

Adding Attachments

  • To add an attachment to a message click the paperclip button in the bottom left-hand corner of the new message.

  • Select ‘Choose file’ from the screen that opens.
  • A browse window appears. Find the file that you wish to attach, select and click ‘Open’.
  • The filename appears in the ‘Add file’ screen. Click the green ‘Add’ button to add the selected attachment.
  • The attachment is displayed under the paperclip button.

  • Repeat to add further attachments.
  • The small blue ‘x’ at the end of the filename can be used to remove the attachment if necessary.

Requesting Receipts

  • To request a Delivery receipt – to receive a notification from ServiceSight when the message you are sending arrives at the recipient simply click the ‘Delivery receipt’ tick box.
  • To request a Read receipt – to receive a notification from ServiceSight when the recipient reads the message simply click the ‘Read receipt’ tick box.

  • It is possible to tick both boxes to receive both receipts.

Reading Messages

  • When a message is sent to you it will appear in your notifications area by your avatar. The number of notifications will advance by one. To view your notifications click ‘Notifications.
  • A small form appears listing your notifications.
  • Messages appear with the sender info and the subject line.
  • To read the message click on the message notification.
  • Alternatively you can mark it as read (remove the notification) or reply straight from the notification screen by clicking on the arrow icon on the left-hand side of the message notification.

  • You can also click the Message icon on the menu bar to open your message list.
  • Unopened messages will be marked with a red status of ‘Unread’.
  • Click anywhere on the message line in the list to open it for reading.

Replying to Messages

Messages can be replied to in two ways – from the notification area, if it is an unread message and from within the message itself.

  • To reply to a message from the notification area click on ‘Notifications’ on the menu bar.
  • Any new messages will appear in the list.
  • Hover over the message you want to reply to. Two icons appear: ‘Mark as read’ (envelope with a tick) & ‘Reply’ (arrow).
  • Click ‘Reply’.

  • To reply to a message that you have open (from the message list or from clicking the message in the notifications area) simply click the green ‘Reply’ button on the right-hand side of the message in the conversation window.

  • Type in your reply and click the green ‘Send’ button.

Forwarding Messages

  • To forward a message simply open it from the Message list (accessed by clicking ‘Messages’ on the menu bar).
  • Then click the ‘Forward’ button on the right-hand side of the message.
  • A new message form will open and allow you to select recipients and add a message if needed.
  • Click the green ‘Send’ button to forward the message on to the intended recipients.

Creating Messages from Jobs, Customers or Reminders

Messages can be sent directly from within a job, customer or reminder. We will use the example of a job to demonstrate below.

  • Open the job that you wish to send a message about.

  • Click the ‘New message’ button.
  • A blank message opens ready for you to select recipients but the subject line already has the job number populated for you.

  • Complete & send the message as normal.
