Updating Jobs Manually

If your engineers are not using the mobile app or you need to update a job manually for other reasons this can be done very easily and all of the functionality available to the mobile app is replicated in the office system.

This article presumes you have already logged and allocated the job to an engineer, he or she has carried out the work and now you need to update the job from a paper job sheet so you can complete it & invoice the customer.

Updating Labour Visits

  • Click the Labour tab of the job you need to update.
  • You will see the allocated visit listed on the labour summary screen.
  • Click the blue visit number to open it for editing.
  • Check the visit date at the top of the screen (1). This should be correct but it should match the day the engineer attended site.
  • Then you can enter his or her work report (2) and then finally the time on & time off as well as any travel or mileage information (3).
  • If you need to check the labour charge information click into the Charges tab.
  • Otherwise click the ‘Complete’ button to save your changes and close the visit. Depending on your inputs you may receive a message asking if you want to ‘Save’ or ‘Save & Recalculate’ in reference to the labour charges being recalculated due to changes in the labour hours. Choose ‘Save & Recalculate’ in this scenario.

Updating Materials

  • To add materials to the job click into the Materials tab. The Materials tab open and show a summary of any items already on the job. To add a new item click the green ‘New material item’ button.
  • Firstly, select from the list, which visit this material item is associated with ie which engineer fitted it, if there is more than one.
  • Then enter a description of the item e.g. Air Filter
  • Next, select a Material type from the drop-down list to categorise this item e.g. Filters. New Material types can be added in Settings | Jobs | Material types.
  • Finally, if appropriate, enter the selling price you are charging the customer for this item.
  • Click the green ‘Save’ button to save your entries and return to the main job screen.
  • You can now complete & invoice the job if needed (see article on completing & invoicing jobs elsewhere in the help system).
