In ServiceSight you can create employee records so that you can allow them access to the customer database, create new jobs, plan work for engineers as well as completing & invoicing jobs.
- Click on the ‘Settings’ link in the top right-hand area of the system
- In the menu that opens on the left, select General | Employees
- Click the green ‘Add Employee’ button on the right
- Add the user’s name
- The Status field will default to ‘Active’. You can use this feature to de-activate users if the need arises later
- Enter the user’s initials. These will be used as a placeholder avatar until you have uploaded a picture
- There are two reference fields here that you can utilise if needed but are not required fields
- Enter a mobile number for the user if required. Next, click the Login tab to proceed with setting up this user’s access to the system
- Select ‘Allow office web login’ (This will flags this employee so they will be able to log into the system)
- Select a security role from the ‘Role performed’ drop-down list. This is to control what level of access this user has and what they will be able to do on the system. Security roles can be created & edited from Settings | Security | Security roles
- Finally enter their email address. This is important as it will serve as their log in name but also be used to send them the invitation to log in the ServiceSight for the first time. This will happen when you click the green ‘Save’ button at the bottom of the screen
- The limits tab is where you can add purchasing limits for your employees when raising purchase orders and booking in goods received notes. This can be added at a later date.
- In the next tab you can also add a photo of the employee if you wish, or just an image to represent him or her (To do this go to the Photo tab and click ‘Choose file’) Note that the images must be jpeg or bmp format
- A browse window opens allowing you to select the image. Click ‘Open’ to upload it
- Click the green ‘Save’ button to see your uploaded logo. The photo is used on the employee list and will appear as their avatar in the top right hand corner of the screen when they have logged in
- You can remove the photo at any time in this same screen by clicking ‘Delete Photo’ or it can be replaced simply by selecting a new image in the same manner as the original
